Terms of Service

These terms are the agreement between you and Tracked By Me when you use the site and app. They are written to be read: please take a few minutes with them.
The short version
- Your 30-day free trial gives full access and needs no credit card.
- You can cancel anytime from the Billing page.
- Not right for you? Contact us within 7 days of your first paid charge for a full refund.
- Reminders are a helpful aid. You stay responsible for your deadlines.
Who we are
Tracked By Me is operated by Royce Keith Williams. In these terms, “we” and “us” mean Tracked By Me and its operator.
Agreeing to these terms
By creating an account or using Tracked By Me you agree to these terms and to our Privacy Policy. If you do not agree, please do not use the service.
What Tracked By Me is
Tracked By Me is a web app for keeping track of recurring maintenance, inspections, licenses, permits and renewals for properties, vehicles and equipment. It sends email reminders and stores records of completed work, including photos and receipts.
Reminders are an aid, not a guarantee
We work to send reminders on time, but email can be delayed, filtered into spam or fail to arrive, and the service can have interruptions. You are responsible for meeting your own deadlines and for any legal, safety, licensing, insurance or contract requirements that apply to you.
Tracked By Me is a record-keeping tool. It is not legal, safety, insurance or compliance advice, and the due dates and schedules are the ones you enter.
Reports and records you print or save are built from what you enter and upload. We do not verify them, and an inspector, insurer, court or other authority may or may not accept them.
Your account
- You sign in with a one-time code sent to your email, so keep access to that inbox secure.
- Give us an accurate email address and keep it current.
- You are responsible for what happens under your account.
Free trial
New accounts get a 30-day free trial with full access. No credit card is required during the trial.
If you do not subscribe when the trial ends, your saved information stays in your account, but access to the app and reminder emails pause until you subscribe.
Subscription and billing
- Founding price: $9.99 per month for our first 50 subscribers, who keep that rate as long as their subscription remains active.
- The regular price is $19.99 per month for new subscribers after the first 50.
- Subscriptions renew monthly and are billed through Stripe.
- You can cancel anytime from the Billing page using Manage billing. Cancelling stops future charges.
- We will tell you before a price change applies to your subscription.
- Refunds are covered in the refund policy below. If you think you have been charged in error, contact us and we will look into it.
Refund policy
We want you to be completely satisfied with Tracked By Me. It includes a 30-day free trial so you can explore the service before becoming a paid member.
If you are charged for your first paid month and decide the service isn’t right for you, contact us within 7 days of that first charge and we will provide a full refund.
If you believe you were charged in error at any time, please contact us. We will review the charge and, when appropriate, issue a full or partial refund.
You may cancel your subscription at any time. After cancellation, you will not be charged for future renewal periods. Except for the first-payment guarantee above or billing errors, payments for previous subscription periods are generally non-refundable.
We would rather make things right than have an unhappy customer.
What you can count on from us
- No credit card is collected for the free trial, so the trial cannot charge you.
- Founding members keep the $9.99 per month rate as long as their subscription remains active.
- You can cancel anytime, and cancelling stops future charges.
- Your records are yours, and you can delete your account whenever you choose.
- We will tell you by email about changes to these terms or to how we use your information that matter to you.
Your content
The properties, tasks, records and files you add are yours. You give us permission to store them and show them back to you, and only so we can run the service for you.
You are responsible for what you upload. Do not upload anything unlawful or harmful, or files that contain malware.
Keep your own copies
We take reasonable care to store your records safely, but no service can promise it will never lose data. Keep the originals of important documents such as licenses, permits, insurance policies and receipts, and save or print reports you rely on. You are responsible for keeping copies of anything you cannot afford to lose.
Acceptable use
Please do not:
- use the service for anything unlawful,
- try to access another customer’s account or data,
- interfere with or overload the service, or try to get around its limits,
- upload sensitive personal documents you do not need, such as government ID numbers or bank account details.
Outside services
Parts of the service rely on outside providers, including Stripe for payments and email delivery providers for the messages we send. Their own terms apply to what they provide, and we are not responsible for their outages or errors, although we will help you sort out a problem that affects you.
Availability and changes
We aim to keep the service available, but we cannot promise it will always be uninterrupted or error-free. We may improve, change or remove features over time.
Ending your use
You can stop using the service at any time, and you can delete your account from Settings, which cancels your subscription. We may suspend or close an account that breaks these terms or puts the service or other customers at risk.
Liability
The service is provided “as is”. To the extent the law allows, Tracked By Me is not liable for indirect or consequential losses, including missed deadlines, fines, penalties, lost income or lost data, and our total liability to you for any claim is limited to the amount you paid us in the 12 months before it.
Nothing in these terms limits any right you have under the law that cannot be limited.
Claims about your use
If a claim is made against us because you broke these terms, uploaded something you had no right to upload, or misused the service, you agree to cover our reasonable costs of dealing with it, to the extent the law allows.
If we disagree
If something goes wrong, contact us first. Most problems are quick to fix, and we will try in good faith to resolve it with you before anything more formal.
The rest of the agreement
These terms and our Privacy Policy are the whole agreement between you and us about the service. If a part of them cannot be enforced, the rest still applies. If we do not insist on something right away, we have not given up the right to do so later.
Changes to these terms
If we change these terms we will update this page and the date at the top. If a change matters to you, we will tell you by email. Using the service after a change means you accept it.
